Ever since the portable document format has been launched by Adobe systems, it has become a popular document sharing format over the internet. Do you wonder why this format has been liked by a majority of internet users? Did it ever occur to you why people convert word documents into PDF format? Has it ever happened that you have evaluated the need of using a PDF converter so that you can convert word documents into this format? If you have never thought about these questions, it is time you must think about them. In this article, you will be able to learn about the significance and benefit of using the portable document format over the other formats available. Let us count the points which tell us why PDF is a superior format to the rest.

Easily compatible – Files which are created in portable document format can be viewed by opening them on almost any computer operating system. PDF is compatible with all operating systems, whether you are using Linux, UNIX, Windows, Mac or any other system.

Structure creation and formatting of data – When you transfer or share PDF documents via the web, email or intranet, formatting, structure and properties of the documents are preserved. No other format is capable in retaining the data format and structure of documents to be shared over the net. This is one strong reason, that confirms the popularity of PDF document format.

Compression of files – One top benefit of converting documents into PDF is that files can be compressed. When conversion of documents takes place from doc to PDF, the size of the document reduces by a good level. A document which is small in size can be speedily uploaded and downloaded.

Security and protection – Documents created in portable document format are absolutely secure to be shared over the internet. It is because of the high-level encryption feature that the data stored in a file is protected from any form of intimidating element.

Various advantages offered by the format attract people to use only this format when confidential documents need to be transferred. With the help of competent PDF converter you can convert documents from any format like excel or word to PDF. With the password-protection feature you can add to the security level of the content in your files and easily transfer them over to receivers via the web making PDF one of the most secure document format.

Since Adobe Systems introduced the PDF format in 1993 it has rapidly become the number one universal document format on the internet. Not without any reasons, as there is a growing demand for such a universal format to allow people to share their ideas and work digitally on the internet. The number of different software programs keeps on growing and growing, from fantastic organizers, spreadsheet programs, to photo editing software: they all tend to make our lives easier, but often forget one major point: the ability to allow the user to share his/her work! The so called web 2.0 is already a fact, and the internet is becoming a place of creating and sharing your own ideas and work.

The popular PDF format solved this problem by introducing itself as a system-wide universal format: almost anyone on any computer system is able to open a PDF file these days. People have clearly discovered some advantages of PDF files, but yet only a few are actively creating PDF files themselves. So why should you consider creating your own PDF documents? I present you the top 10 advantages of this widely popular format:

1. Compatible Across platforms; From Windows, Mac, Linux, to even modern mobile phones and PDA’s: PDF files can be opened on basically any system! You don’t have to worry about your co-workers, students, family, or whomever you’re sharing your work with, not being able to open your files.

2. Compact & Small; When you convert an existing document to a PDF file, it will automatically be highly optimized making it much smaller in size without losing any quality. Note that you can often also combine and merge multiple documents into one single PDF: spreadsheets, word documents, photos, etc..: you can join them all together into a single PDF File!

3. Can be created from any source document/application; The powerful technology behind the PDF format allows you to convert almost any document, from any application to a PDF file. With a decent PDF Creator your PDF file will just look like you printed your file on high quality paper.

4. Secure to avoid people from modifying & redistributing your work; Protect your PDF File, and prevent users from printing, duplicating or even opening your work. The encrypted protection makes it possible to share your work, without having to worry about various doom scenarios.

5. Secure, lower chance of getting infected with viruses; There’s low chance of a PDF file getting infected with something like a virus or trojan, which makes it a safe and trusted way of sharing your work.

6. Easy and quick to create when using the right software; You’ll find a ton of different pdf conversion programs on the internet, one looking even more fancier than the other, with prices varying from $30 to $4000. Most of them are pretty easy to use though, and you’ll usually be able to convert your documents to PDF in a few simple clicks. Choosing a good software solution is another story, but you can find some advice at my other PDF Creator article.

7. Software to view PDF Files is completely free; Software like Acrobat Reader to open PDF Files can be downloaded for free, and is already installed on most computers. Often it will be installed in combinations with other software you bought on CD-Rom. (A lot of companies deliver their documentation as PDF files.)

8. Viewable within most web-browsers; You’re simply able to open and view PDF files in your favorite web-browser. You can simply click a link whenever someone links to a PDF file on a website, and the file will be opened automatically.

9. PDF Files meet legal document requirements; A document must be kept in a format that can’t be changed or altered without leaving any footprints, if you want it to be admissible in a court of law. A created PDF file can’t be altered, and usually meets these legal requirements. (Contact a legal advisor for more info.)

10. Compatible with modern portable reader systems; This is a whole new but powerful phenomenon: various companies like Sony are working on digitally paper pads. These flat panels, not much larger than a regular book, allow you to upload your PDF files to the device, so you can read through the information like a normal book. Sounds like science fiction, but you can already buy these devices for +- $299. Prices are guaranteed to drop the coming years, and it’s a great way to save literally heaps of paper!

Here’s a new case study in how NOT to release PDF documents;

.

Hyper FB Traffic is a Clickbank product released on Monday, 13th September. The product is a how-to for marketers on how to get Facebook Traffic for affiliate sales. The product is made up of PDF documents and videos. The base cost was $79 and contained a number of upsells the buyer is presented with before they can access the course.

While we’re going to reserve judgment on the content quality of the Facebook traffic work, their security definitely is lacking. Here’s why;

Two days after release of the course (Wednesday, 15th September) massive file sharing was going on. With most of the course uploaded to rapidshare and other file sharing sites.

The PDFs contain no security whatsoever (not even a password – which is a really weak protection method anyway.

Here are some of the sites containing the info and how the files spread. You can also see the messages passed among file sharers, telling each other how to get the Hyper FB Traffic course files and course for free, on the file sharing sites;

Mediafire pdf links of HyperFB Traffic Core Manual;

http://www.mediafire.com/?th2n1ni7rn63zk2

Mediafire pdf links of HyperFB Traffic Action Guide;

http://www.mediafire.com/?cdxd17k6cy42sbq

See the free users discussing how to access all the additional files in the course;

http://www.blackhatteam.com/f51/get-hyper-facebook-traffic-27527-6.html

The above is just a very small sample of how the PDFs have been shared. Expect sharing of those files to go “parabolic” in the days and weeks ahead. All the people who paid for that course just got ripped off – as there was no advantage for them buying it. Thousands now also have access who did not pay a penny.

All it took was two days for massive PDF and file sharing to start. This case study serves as a warning to others, and illustrates why it is so critical to protect your PDFs with EFFECTIVE security (not passwords). If you release PDFs at all for profit, your business depends upon it.

Internet piracy using the old cut and paste function on any PC is a common occurrence these days, and many writers and publishers will scramble for ways to reduce their exposure. You want to be able to provide your products to your customers without allowing the material to get in the wrong hands, reducing your profits.

The best way to shield yourself against this is to have eBook security digital security of PDFs files before you make your work available. There are many different types of products available to choose from.

Not surprisingly, many of these are sold on the Internet. Narrow your choices based on your individual needs. You can control the distribution of your eBook by using a variety of eBook security digital security of PDFs products.

Customers share eBook files via email constantly, or some might even try to sell your book after they purchase it from you. Not only are you losing profits, but the individual’s act is criminal because they are committing theft.

Many of these security products use IP tracking technology. Each computer that is connected to the Internet is identified by a unique string of numbers which can be tracked. The person who buys your product must enter a license code. This code is used to track his or her IP address and send it to your online control panel. If your eBook is shared with others, you will receive an alert that shows two or more IP addresses connected with the same eBook.

Having eBook security digital security of PDFs will allow you to instantly deactivate all copies associated with the original IP address. This is also helpful when a customer requests a refund. Many of these products also have other helpful features that you can take advantage of. These additional features help to set apart one from the other, and help you to narrow your selection. You do not want to pay for features that you will not use; likewise, you do not want to buy a product that does not fulfill your needs.

For example, some products offer a web site that will help you promote and sell more eBooks to the Internet audience. Some even manage the entire purchase process, so you do not have to oversee the daily maintenance of purchases and protection.

Ebooks have become a popular way for people to make money online. A lot of folks will set up niche websites that offer a related ebook for sale or they might just write several ebooks and place them up for sale on Clickbank for others to promote. The bad news is that the illegal copying of ebooks is increasing at a rapid rate. It’s not fair to you if you’ve put all the work into an ebook, then offer it for sale and have others that steal your work. There are some ways to help protect the security of your eBook to make sure it only gets into the hands of paying consumers.

While you can assume that most internet users are honest people, but there are always others that need to try and get everything for free. One easy way to prevent ebook theft is by registering for a copyright. Although your published work is automatically copyrighted, it doesn’t hurt to register copyright.

Another way that you can protect ebook security and digital security of PDFs is by requiring a password for users to actually open the ebook. You could make the ebook downloadable for them once they purchase it, but then they won’t be able to see anything until they type in a valid password. This can really help to cut down on stealing.

You can also format your ebook with a specific HTML command that will prevent your ebook from being indexed by the search engines. If you sell an ebook and don’t require a password, any body typing in a phrase related to your ebook might be able to find it in search results and read it for free.

Finally, you can choose to have a setting that prevents readers from being able to print out your ebook. If they are able to print it, they could easily sell it themselves or even rewrite the book in a different program and sell it as their own.

It takes a bit of hard work to write and publish your own ebook so you should do all you can to protect it. There will always be dishonest people in the world, but you can try a few of the above tips to help prevent them from stealing your work. With this problem being on the rise, it’s important to stay up to date on all of the things you can do to help protect the digital security of PDFs.

A lot of people just don’t want to face the facts of the digital age. There are more than enough industry trade groups that have gone to great lengths to let us know how threat of copying increasing is harming the economy. The fact is that copying is increasing and most of the industries that claim it’s harming them are actually growing. The concern over protecting content has been hyped by the music and movie industries for a long time and now its moved to the publishing industry now that eBooks are becoming more popular and eBook Security digital security of PDFs is now important.

While there is a need for eBook Security digital security of PDFs to prevent copying in some instances, it’s not really a quick fix to end file sharing. The root of all the rampant file sharing in the world today is based on the greed of industries that are built around copyright protections. Every artist deserves to be compensated for their work and they shouldn’t have to worry about someone making a profit off their efforts, but at the same time content distributors need to realize that technology has changed the marketplace and that it’s time to begin looking at new business models.

The biggest problem is that there is no clear line between file sharing and “piracy”. We are taught from a very early age that sharing is good, but when it comes to sharing things that we have purchased, it is suddenly piracy. The issue being that technology has advanced to such a degree that the old laws no longer fit and it’s time for a change in the laws and the business models or several industries will find themselves in the same position as the buggy whip makers when the automobile appeared.

One thing is certain, and that is that the eBook is no longer a fad. The Kindle and the iPad have definitely raised a lot of interest in ebooks over the past year and sales are growing steadily. With that growth there are a number of companies that specialize in eBook Security digital security of PDFs that are just a rapidly gaining more and more clients who are worried about the threat of copying increasing.

Here at the Protect my PDF blog, we are often asked how to secure a PDF file. Our first response is always to ask the person if they have released their PDF yet.

If the answer is, “no, the PDF has not yet been released” that’s good. If the answer is, “yes, we already have copies out there” then that’s a problem. Why?

Because, like locking the stable door after the horse has bolted, it’s too late. Even one copy of your PDF ebook or other PDF file, in the wrong hands is one too many and there are likely already scores of unauthorized PDF copies floating around.

The only time to secure a PDF is before it has been released. And these are the steps that should be taken.

1. Use a PDF protection system that contains live monitoring of who is accessing your PDF file. Monitor their name and IP address.

2. Use a secure PDF system that places a shell around your PDF that prevents unauthorized viewing.

3. Secure your PDF with a protection system that enables you to remove access to your PDF, whenever you choose. This is critical.

4. Do not allow printing of your PDF. Even in protection systems that claim to stop copying via the print process (printing to Adobe Acrobat and making a 100% unprotected copy, for example) the results of these systems is less than perfect. Instead, offer a printed, hard copy of your document as a stand-alone item (for additional profit if you desire)

5. Make sure you can evaluate your prospective PDF protection system for low cost, before rolling it out on a larger scale

6. Make sure your PDF protection system has versions that work with both PC for PDF protection and Mac PDF protection. Many protect PDF methods only work with one or the other operating system.

7. For our recommended solution that has all of the above features, with a demo video of how it works, please visit here
